Install so you can use an org chart template on Windows

How to use an org chart template

Install draw.io desktop with the command on this page, or take draw.io-31.3.2-windows-installer.exe from GitHub Releases. An msi and a zip also exist on that release if you want those.
Open draw.io desktop. You should get a window on this PC, not a website that asks you to upload a roster.
Start from an org chart template in the app. Pick a starter that already shows a reporting tree, not a blank canvas and not a network diagram.
Replace the sample names, titles, and reporting lines with the people on this chart. Edit one box you can check. Then edit the next. Delete extra sample boxes. Add a box only when a real person is missing.
Save the .drawio file on this PC. Pick a folder you control. The template is a start. The saved file is the chart you will open again.

What an org chart template is on this PC

An org chart is a diagram of who reports to whom. A template is a starter of that diagram. Boxes are already placed. Lines already point from a manager to a report. Placeholder text sits in the boxes. Your job is to put real people in those boxes and drop the placeholders.

draw.io desktop is one Apache-2.0 program that opens those starters in a desktop window on Windows. You install it, you pick a template, you type over the samples, you save. This page stays on that fill. Stay here when the tree shape is close enough and you only need names and titles.

The app does not know your company. The template is not a roster. If you have no names yet, the window still opens, and the samples still say samples. Write the people you can stand behind. Then save.

Pick a template in the app

Open the template picker in draw.io desktop the way the app shows it. Look for an org chart starter, a people tree, a reporting layout. We will not invent extra menu names. Use the controls the window actually shows. If the first starter is a flowchart or a floor plan, skip it. You want who reports to whom.

Start with a tree that is close to the group you are drawing. A small team can use a short stack: one top box, a row of reports. A larger group may need another row. If the starter has far more boxes than people you can name, delete the extras after you save a first copy. A first pass that keeps twenty fake names is a bad chart to send.

Confirm you are in a desktop window. A browser tab that asks you to sign in for a cloud folder is a different program. This article stays on the Windows app from GitHub Releases or winget.

Replace names, titles, and reporting lines

Click a box. Type a real name. Type a title if the box has a second line and you want that line. Tab or click the next box. Work down from the person at the top. The top box is usually the person everyone else reports toward. If that is wrong for your group, fix it first. The rest of the tree hangs off that choice.

Reporting lines are the connectors already on the template. If Alice reports to Sam, the line should run from Sam to Alice, or from Alice up to Sam, in the same direction the rest of the template uses. Do not mix directions on one page. If a sample line points at a box you deleted, delete the line too. A line into empty space is a mistake, not a style.

Start with people you can check. A manager and two reports is enough for a first save. Confirm the names read correctly at a glance. Then add the next row. A template session that has never saved one honest trio is a bad place to dump a whole department of guesswork.

If a person has two managers, the simple template may only show one line. Draw a second connector if that is real. If it is not real, skip the extra line. The chart is a diagram of reporting, not a poster of every meeting invite.

Save the file you will open again

Save a .drawio file on this PC. Documents, a team folder you already use, a USB stick you will keep plugged in while you edit. We will not invent a cloud for this project. You pick the path. The template in the app is not your file. The save is.

Use a name you will recognize next week. A date in the filename helps if you keep versions. Closing the window does not save by itself if you never wrote the file. Save before you export a picture. Save before you send anything.

Export a png or a pdf only after the names are real. A picture of sample boxes is still sample boxes. Export is optional. The .drawio file is the working chart. If you only needed a picture for a slide, export after the fill, then keep the .drawio anyway so you can edit later.

A file on a USB stick needs the stick plugged in. Ejecting the stick while the chart is open can fail the save. Copy it to Documents if you need it after the stick leaves. A file on a network share is still a file. Wait until the share is available.

First run

After install, open the app once before you hunt a website named template. Pick one org chart starter. Replace one name you trust. Save. If the window is empty, you have not opened a template yet, or you opened a blank page, or the path failed.

Windows may show a SmartScreen prompt on a first exe. Read the publisher. Prefer GitHub Releases. Winget skips some of that path because Microsoft already listed the package. If winget is missing, the exe is still honest. Do not fetch a second setup from search.

Updates live on GitHub Releases and on winget when the package updates. We do not invent a newer number than V31.3.2 here. Read the release. Usual Windows pick is still draw.io-31.3.2-windows-installer.exe. The msi is still an msi of this project. The zip is still a zip of this project.

When the template does not match

A starter with one boss and four reports will not fit a group with two heads and no shared manager. Pick a different starter, or add boxes until the tree is true. Do not leave the wrong person at the top because the template put them there.

A starter that is a cycle of circles is not an org chart. Close it. Pick a tree. A mind map, a kanban board, or a floor plan will not become a reporting diagram because you typed names into it. Use an org chart template, or go make a new chart on Org chart creator.

If you only have a list in a spreadsheet and no idea who reports to whom, a template will not invent the lines. Ask the people, or stop until you know. This page will not host a roster. It will not guess a manager.

Too many sample boxes is normal. Delete them. Too few is also normal. Duplicate a box, place it, connect it. We will not invent extra layout names. If the tree looks crooked, drag the box. If a line crosses another line, move a box. Stop when a person can read who reports to whom without a legend.

School PCs, labs, and uninstall

A lab image may block winget and unknown installers. Then this org chart template install is closed for that hour. Do not fetch a wrapper to get around policy. Use a diagram tool already on the image, or wait until you control the PC.

A borrowed laptop you return in twenty minutes is a bad place to leave draw.io-31.3.2-windows-installer.exe. Use what is already on the machine, or do not install. Do not leave someone else a chart of other people names on the desktop.

Installer exe, msi, and zip

Usual Windows pick is draw.io-31.3.2-windows-installer.exe. The same GitHub release also lists draw.io-31.3.2.msi and draw.io-31.3.2-windows.zip. They are different packages of the same project. Pick one path. Do not run the installer and unpack the zip on top of each other because the first one felt slow.

Shared machines and the next chart

On a family PC, say if you installed a new diagram program. On a work PC, follow local policy. If policy blocks unknown exe files, winget may still work, or it may not. If both are blocked, stop. Softonic is still the wrong host in that hour.

Open the next template the same way. Install once. Fill many charts. You do not reinstall for each team. If a new chart looks wrong, the names and lines are the suspect, not a missing second program.
